Access Control 3.5 - Deleting Employees from the clock

How to delete employees from Access 3.5 software and the clocking terminal(s)

1. First we need to make sure that the up to date list of employees has been downloaded to the Access software. To do this click on the 'Device' tab at the top and make sure the 'Device' option on the left hand menu is also selected. This should display a list of all the clocking terminals that have been added to your system. Ticket the boxes next to all of the Device Names and press 'Get Personnel Data From Device'. 

You will then get the following window. Select 'Fingerprint Templates' or 'Face Templates' depending on whether you have a fingerprint or facial recognition system. You can press 'Details' if you want to see more information about the download. When ready press 'Get' and the software will download all the employee names and bio-metric registrations from the clocking terminal(s). When the 'Total Progress' bar displays 100% you can press 'Return' in the bottom right.

2. Next make sure that all the employees in your Access 3.5 software have been set up in the right access group. This is required for clock operations to be applied to employee profiles.

Click on the 'Access Control' tab at the top of the software, then on the 'Access Levels' option on the left hand menu. This will load up a screen similar to the one below. If you already have an entry in the Access Level section like in the example below, then tick the box and press 'Edit'. If there are no existing access levels then press 'Add'.

Whichever option you use, you will get a a window like the one below. Make sure the Access Level Name is set to '24 hr', and the Access Control Time Zone is set to '24-Hour Accessible'. Then if they are showing green press the two '>>' buttons as highlighted below. This will move all devices and employees over to the authorized section. To save press the 'OK' button in the bottom right.

3. The next step is to delete the necessary employees out of the software. To do this click on the 'Personnel' tab at the top of the software window. Then make sure 'Personnel' is selected in the menu on the left. You will then have a screen with all the staff listed. Tick the name(s) of whoever you wish to delete, then press the 'Delete' button at the top, as shown in the screenshot below. The selected users should then be removed from the Personnel list.
