Adding Shifts to Shift Groups in the ClockRite Software

Once all necessary Shifts have been configured they can be applied to a Shift GroupShift Groups hold all possible working parameters for an employee or group of employees, and can be assigned to individual staff members in the Employees screen

Creating New Shift Groups

Access the Shift Groups setup screen by clicking on the 'Shift Setup' icon on the top toolbar and selecting the 'Shift Groups' tab. You'll see a list of Shifts displayed in the top-left of the screen. Here you can do the following:

  1. Select an existing Shift Group to edit by clicking on it. 
  2. Create an entirely new Shift Group by right clicking anywhere on the list and selecting 'New.'
  3. Delete an existing Shift GroupShift Groups can only be deleted if they are no longer in use. 

When creating a new  Shift Group, name it accordingly and allocate Shifts using the drop down boxes. Some Shift Groups may require multiple Shifts. If this is the case, we also need to tell ClockRite where one shift ends and the next begins, referred to in the Software as the 'Until Time.' To use our examples again:

Example 1: Simple Monday to Friday Week (Standard Week)

Here the 'Standard Week' Shift has been applied to the 'Standard Week' Shift Group. As the Shift Group contains only one Shift, the 'Until' time must be left at 23:59:00. 

Example 2: Early/Late Pattern

This Shift Group would contain two Shifts. Where two or more Shifts are present in a Shift Group, ClockRite will allocate employees to a Shift based on their first IN clocking of the day. The 'Until' time represents the time at which ClockRite will stop assuming one Shift (Early), and begin assuming another (Late). The 'Until' time of the earlier shift should be set to the latest time you might reasonably expect an employee to clock in for that shift. In our example, ClockRite will assume anyone clocking in before 12:00 to be on the Early Shift, and anyone clocking after to be on the Late Shift. 

The Until time of Shifts within a Shift Group must be in descending order, and the last Shift in any Shift Group must have an Until time of 23:59:00. 

Assigning Shift Groups to Employees

Once  Shift Groups have been created, they can be assigned to relevant staff members through the Employee Screen using the 'Shift Group' dropdown box. 

And that's all there is to it! New Shifts will apply from the day on which they are assigned. If you need to apply new shift patterns to historical data, click here.

Shift Groups Containing Night Shifts

Example 3: Early, Late, and Night Shift

This  Shift Group would contain three Shifts. Where two or more Shifts are present in a Shift Group, ClockRite will allocate employees to a Shift based on their first IN clocking of the day. The 'Until' time represents the time at which ClockRite will stop assuming one Shift (Early, or Late ), and begin assuming another (Late, or Night). The 'Until' time should be set to the latest time you might reasonably expect an employee to clock in for a particular shift. In our example, ClockRite will assume anyone clocking in before 11:00 to be on the Early Shift, and anyone clocking in between 11:00 and 15:00 to be on the Late Shift. After 15:00 ClockRite will assume that anyone clocking in should be assigned to the Night Shift. 

Two Important things to note when configuring Night Shifts:
  • The last Shift in any Shift Group must have an Until time of 23:59:00, even if it is a Night Shift.  
  • Only one Night Shift can be assigned per Shift Group
