Adding Day Rules to Shifts in the ClockRite Software

Once all necessary Day Rules have been configured they can be applied to a ShiftShifts govern working parameters over a given week, and can be altered and amended in the Shifts tab. If you have more than one possible pattern of work during the week (an early and a late shift for example), more than one Shift may be required. Shifts are added to Shift Groups, which hold all possible working parameters for an employee or group of employees

Creating New Shifts

Access the Shifts setup screen by clicking on the 'Shift Setup' icon on the top toolbar and selecting the 'Shifts' tab. You'll see a list of Shifts displayed in the top-left of the screen. Here you can do the following:

  1. Select an existing Shift to edit by clicking on it. 
  2. Copy an existing Shift by right clicking on it and selecting 'Copy'.
  3. Create an entirely new Shift by right clicking anywhere on the list and selecting 'New.'
  4. Delete an existing Shift. Shifts can only be deleted if they are no longer in use. 

When creating a new Shift, name it accordingly and allocate Day Rules to individual days using the drop down boxes. The number of Shifts required will again depend on the complexity of your working week, illustrated in the examples below.

Example 1: Simple Monday to Friday Week (Standard Week)

Would require one shift (named 'Standard Week in our example), configured as follows:

Example 2: Early and Late Shift Each Day, Shorter Day on Friday

This example is a little more complex, and requires two different  Shifts to reflect the Early/Late patterns that run through the week. In this example, the Early Shift would be configured as follows:

And the Late Shift would be configured like this:

Both the Shifts can then be added to a single Shift Group and assigned to the relevant employees (further detailed in Step 3). ClockRite determines which shift a staff member is on based on their first IN Clocking of the day.

Night Shifts

Night Shifts require an extra step in order to ensure ClockRite recognises that the Shift runs over midnight. This is explained in the example below:

Example 3: Early Shift, Late Shift, and Night Shift

This example would require three Shifts to reflect the three possible patterns of work. The Early and Late Shifts would be configured as follows:

However, the Night Shift requires an additional step. When configuring a Night Shift, the ' Shift Goes over Midnight' option must be checked in order for the ClockRite Software to recognise it as a Night Shift. The Overflow Time represents the amount of time after the end of the Shift that ClockRite will designate as part of the Night Shift, and is used primarily to account for possible overtime after the 'Day Finish' specified in the Night Shift Day Rule. For example, if the 'Day Finish' is set to 02:00(am) and the 'Overflow Time' is set at 02:00(hours), staff could clock out at any time until 4am and still be recognised as being on the Night Shift.
