Daily and Weekly Overtime

Configuring Overtime Policies in the ClockRite Software

ClockRite can be configured for Daily and Weekly overtime. Overtime rules are assigned to employees using the dropdown options in the Employees Screen.  It is possible to assign some Employees to Daily and some to Weekly overtime, depending on the needs of your business

Setting Overtime Rates

Overtime Rates can be accessed and amended in the 'Defaults' tab of the 'Company Details' screen.    

Overtime rates function as a multiplier of the hourly rate assigned to each employee in the  Employee Screen. ClockRite allows for up to five rates of pay, including standard rate. By default ClockRite holds two rates of pay;  Basic and Time and a Half.  

To add or alter pay rates, change the multiplier in the  Alias field and amend the Description as needed. If you make any changes to overtime rates, close and restart the ClockRite Software before downloading any data. 


Daily Overtime 

Daily Overtime is calculated on a daily basis and configured as part of a  Day Rule during the Shift Setup process.  

In this example, ClockRite will pay the first eight hours of a given shift at Rate 1, the next four hours at Rate 2, and the final two hours at Rate 3 (up to a maximum of 14 paid hours).

If employees are only ever paid one Rate, '23:59' should be entered into the 'Rate 1' box

The sum total of all hours in the Hours to Pay at Rate # fields must not exceed 24:00

If overtime is dependant upon time of day, Time Band Payments can be used. In this example, ClockRite will pay any hours worked between 5pm and 10pm at Rate 2, regardless of the total number of hours worked.


Weekly Overtime

Access the 'Overtime'  tab by clicking on the 'Shift Setup' Icon on the top toolbar. You'll see a list of Overtime Rules displayed in the top-left of the screen. Here you can do the following:

  1. Select an existing Overtime Rule to edit by clicking on it. 
  2. Copy an existing Overtime Rule by right clicking on it and selecting 'Copy'. (This feature is useful if you wish to create a new Overtime Rule with similar properties to one you already have).
  3. Create an entirely new Overtime Rule by right clicking anywhere on the list and selecting 'New.'
  4. Delete an existing Overtime Rule. Overtime Rules can only be deleted if they are no longer in use. 

The default Weekly Overtime Rule is based on a 40 hour week, with any hours in excess of this paid at Rate 2. This Rule can be copied or altered as needed, or an entirely new Rule can be created.

When editing Weekly Overtime Rules, hours to pay at each Rate over the course of a week can be set as demonstrated in the screenshot below:

In this example, ClockRite will pay the first 38 hours at Rate 1, the next 10 hours at Rate 2, and any hours above this (to a grand total of 68 hours) at Rate 3. If certain days (Saturday and Sunday, for example) have special overtime rules, they can be set to calculate using the Daily Overtime parameters configured in their respective Day Rules. In this example, ClockRite has been set to apply Daily overtime rules on Saturday. The 'Hit Target First' box has been checked, meaning that employees must hit their 38 hour Rate 1 target during the week in order to qualify for overtime on Saturday. The 'Include Day in Target' option is also checked, meaning that any hours worked on Saturday will count toward the weekly grand total. 

Sunday has also been set to use Daily overtime rules, but as 'Hit Target First' has not been checked, these rules will be applied regardless of hours worked during the week.
