Deleting Users from the Clocking Terminal

Deleting Users 

Users deleted from the ClockRite Software are not automatically removed from the Clocking Terminal. 

In addition to  removing former employees from the ClockRite Software we recommend deleting them from the Clocking Terminal as part of your leaving procedure, as this helps to maintain data security and ensures records are organised and up to date. 

At the Clocking Terminal:
You will need your Admin Card
  1. Press the Menu or M/OK button and present the Admin Card to access the Admin Menus
  2. Use the arrow keys to select User Mng and press M\ or OK
    1. If you are using a C100, C100AC or C240 you will need to be running ClockRite Version 4.0.314 or above.  You can follow these instructions
    2. If you are using a C200 or C250 Fingerprint Terminal, select the Manage option to bring up the user list (**DO NOT USE STEP A - This will delete all biometric data**)
    3. If you are using a C400 Facial Recognition Terminal, select All Users  (**DO NOT USE STEP A - This will delete all biometric data**)
  3. Use the arrow keys to select the Employee you wish to delete
    1. If you are using a C200 or C250 Fingerprint Terminal, press the M\ button to bring up the user function menu
    2. If you are using a C400 Facial Recognition Terminal, press OK to open the user function menu
  4. Navigate to the Delete/Del User option, and press M\ or OK
  5. Select Delete User and press M\ or OK. This will delete the Employee and their biometric credentials from the Clocking Terminal.
  6. Use the Esc button to exit the Admin Menus

Users Erroneously Created at the Terminal

Users should always be  created in the ClockRite Software first, allowing them to be sent from the Software to the Terminal and ensuring their respective ID numbers match. If users are created in the Clocking Terminal but not the ClockRite Software, their clocking data will not be downloaded

Follow the steps below if you have erroneously created a user in the Clocking Terminal without a corresponding record in the ClockRite Software. 

Creating the User in the ClockRite Software

  1. At the Clocking Terminal, identify the ID number shown on screen when the user clocks in/out (1, 2, 3 etc)
  2. In the ClockRite Software, create an employee record with the ID number ascertained in thew previous step
  3. Answer OK to the resulting message
  4. Enter the employee's name into the Full Name and Clock Name fields and close the Employee window to save changes. 

Reloading missing clocking data

If the employee has been clocking in and out you will now need to reload clocking data in order to capture this information under their new profile in the ClockRite Software.

  1. Select the Clock icon from the upper toolbar, followed by the Clocking Files icon from the lower toolbar of the resulting window
  2. Select the clocking files covering the dates for which clocking data is missing and select the Reload Clocking Files icon. Files must be loaded one at a time
  3. You can now view the user's clocking data in the Time & Attendance Screen
